JOB SUMMARY

The job is responsible for providing administrative support to the executive leadership office and will work directly with the organization’s chief or executive vice presidents.  This is a highly visible position, representing the executive office and the organization to all internal and external stakeholders. The incumbent requires a consummate professional with a demonstrated record of enabling executives to carry out their duties with high effectiveness and efficiency. The incumbent will contribute to the overall success of the organization by providing personalized and timely support to the c-suite key executives and officers, and because the position has latitude will require an incumbent who is highly self-motivated with strong work ethic, exhibit diplomacy, political awareness, and is able to multi-task with the ability to execute their work by prioritizing tasks in a fast-paced environment.


ESSENTIAL RESPONSIBILITIES

  • Communicate effectively both in person and virtually to all levels in the organization.  Appropriately interacts with executives, senior management, and high-level community, government and Industry leaders daily. Always displays effective communication skills while interacting and responding, both written and verbally, with internal and external entities on behalf of executive leadership. 
  • Provide administrative support to the officer and/or executive vice president level. Responsibilities include but are not limited to: (a) Maintain calendars including scheduling meetings, making conference room reservations, meeting arrangements, and arranging audio/visual equipment as needed; (b) Arrange, compose and prepare correspondence that may be confidential and often highly sensitive; (c) Prepare for meetings by creating, organizing, and distributing meeting materials; (d) Perform typing, word processing, transcribing and proofreading activities; (e) Create and revise files including but not limited to spreadsheets and executive presentations; (f) Attend selected meetings in a non-participatory manner to take appropriate notes and conserve time while assuring familiarity with meeting developments; (g) Coordinate and arrange all travel plans and travel-related meeting itineraries as well as detailed travel plans and processing expenses for reimbursement; (h) Compile various information and performing minor calculations as required for departmental reports including maintaining and updating the department budget; (i) Receive visitors and answer telephone calls in a courteous and efficient manner and direct inquires to the appropriate staff based on an overall knowledge of departmental policies and procedures, and (j) Maintain hardcopy and on-line correspondence and administrative files.
  • Maintain a flexible work schedule and be accessible to work on projects or responsibilities outside of core hours as needed.
  • Works closely and effectively with the executive to keep him/her well informed of upcoming commitments and responsibilities; following-up appropriately.
  • Review and prioritize inquiries, makes high-level contacts from both inside and outside the corporation, and addresses and answers inquiries and solicitations, paying constant attention to formal clearance, procedural controls, and organizational sensitivity. Tracks executive correspondence/cases that come into the executive/officer and assures timely response.
  • Responsible to complete projects and other responsibilities using independent judgement and initiative to successfully complete duties accurately and on time.

EXPERIENCE


Required

  • 7 years in a secretarial, administrative or executive assistant role

To Include

  • 5 years with Microsoft Office, Outlook, Word, Excel, PowerPoint and Adobe Acrobat
  • 3 years of supporting senior executives

  • Knowledge of corporate programs, policies, procedures and protocols
  • Effective verbal and written communication skills
